Warehouse Personnel App:
The warehouse personnel’s app is divided into two tabs – Pending and Complete where pending orders include PO/requests that need to be scanned. Whereas, the complete tab will have orders that have been scanned and sent to the Warehouse manager for approval.
Functions for both tabs include:
- Search: by PO or request number
- Filter: by PO or request, date range
The warehouse personnel will have a list of all the PO’s generated. (also all the requests from the branch manager) Each PO/request will have its own tile; showing the PO/request number, date (when it was generated), and total items (SKUs * quantity).
At the time of receiving, the WP will click on the relevant PO tile. This will take the user item listing page, where the all items will be listed down with quantity. Information required here: sku, name, brand, size, quantity. At the bottom of the page will be a scan button. The scan button will open up a scan screen, where the user can scan the barcode via camera or manually type it. Once scanned, WP will enter the quantity and click Next. After entering the quantity, if the qt. scanned equals the qt. in the PO, then quantity number will turn green. If a product that is not enlisted is scanned, an alert “Item not in the list” will be shown. Once all items have been scanned, user will click on the arrow button. This will slide open a page where Items ordered vs scanned will be shown. Scanned item quantity can be modified here (+,-, delete)
Once verified, the user will click on Complete button at the bottom of the sliding page – the PO will be shifted to the Complete tab. The PO tile now, will also have a date + time of when all items were scanned – in the details.
These orders will be sent to the Warehouse Manager.
Warehouse Manager App:
The warehouse manager (WM) App will have 3 tabs: PO, requests, history.
In the history tab, search by PO, request number, distributor name and Branch name. Filters for the same too

The WM, will have a list of all the PO’s that have been received by the WP, Tile heading will show the PO number, date of creation, scanned date/time, distributor name. After clicking on the tile, the user will see items (sku name brand size) scanned qt v ordered qt – all of these are non-editable. Quantities that don’t match will be highlighted in grey and have a red bar. When clicking on the tile with the red bar, a pop-up will be displayed, where user needs to select a reason for the mismatch.
Reasons include: Shortage from Distributor, Damaged by Distributor, Damaged in Warehouse. Once reason is selected, the grey highlight will fade away, but the red mark will remain.
Once verified, user will click on “Send to Accountant”. Once done, user will be redirected to the PO listing screen.
The accountant will see a PO listing. When clicked on the PO, user will see name, brand, size, qt, previous purchase price, Purchase price. The accountant will enter the price and will save.
